Overview
ServiceLink allows you to export the details about an assignment request or an assignment to a Microsoft Word merge document. This is a document that has been set up to use merge fields that bring in data from a tabdelimited file using specific field names. ServiceLink uses the same field names, called “Predefined Codes” that can be used on notifications. This document lists the predefined codes available that are related to assignments. A sample TAB file and Word document are provided with this document to get you started.
Steps to Export to Word
1. Create a Word Document
1. Save the provided sample Word document and sample TAB file to your hard drive where you would like to keep all Word merge documents used with ServiceLink.
2. Open the Word document and click “Yes” when it prompts to run the SQL command.
3. If prompted, click “Find Data Source…” and select the TAB file you saved to your hard drive. If you were not prompted, select Mailings -> Select Recipient List -> Use an Existing List from the menus and toolbar. Select the TAB file from your hard drive.
4. Modify the document using the fields in the TAB file. Click on the Preview Results toolbar icon in the Mailings tab to view the data from the TAB file in your document.
5. Save the document.
2. Export Assignment to Word
1. When viewing an assignment request or the details of an assignment in ServiceLink, you will see an “Actions” menu in the top, right corner of the page. Click on this to select the “Export to Word” menu option.
2. Select your Word file from the hard drive.
3. ServiceLink will merge the assignment data with the fields in your document. The resulting Word document will be shown in a new tab in your browser. You can print the document from here if desired.
4. Returning to the ServiceLink tab, you will have 2 options:
5. Check “Save the file to the assignment.” to attach the new Word document to the assignment.
6. Check “Email the file to someone.” to open an Email Preview window where you can create an email message to send to someone with the file attached to it.
7. Click “Send” to send the email message once you have entered the appropriate information on the page.
