Email and Simple Email Messages

Acclaim Solaria has two types of ways for sending email: one through the application itself (a.k.a. “Simple

Email”), and one through Microsoft Outlook. The type is configured for each user by selecting Settings ► My

Settings.





By default, no email messaging capabilities are used. In order to be able to email reports or send email

messages, select Simple Email Messages or MS Outlook Email Messages.

Note: Only Outlook Classic can be used in this manner. The New Outlook cannot be used

because it does not provide a way for Solaria to communicate with it.

The following are the advantages of using MS Outlook:


◼ Emails will be saved to your Draft folder until sent, if available. This can be turned on/off in System

Preferences.


◼ All messages will get a “read receipt” on it by default. (You cannot put read receipts on email

messages going through the application.) This can be turned on/off in System Preferences.


◼ You have access to all other features available in Outlook for email messages.


Select the Type of Content to use in your email messages, either HTML Messages or PDF Attachments. HTML

content will translate reports into HTML and embed it directly into the email messages. PDF attachments will

print reports to an Adobe PDF file and attach it to an email message. PDF attachments will produce reports



that are formatted exactly as they appear in Solaria whereas HTML messages tend to lose some of the

formatting of the original reports.


Note: Currently, all job confirmations will be embedded as HTML in an email message even if

you have chosen PDF Attachments. These reports have been designed with better HTML

formatting specifically for emailing them to clients and resources.


Enter a Delay While File Saves of 2 or 3 Seconds. This gives Solaria time to generate a report before attaching

it to an email message.


Note: You may need to adjust the Delay While File Saves time depending upon the size of the

PDF report you are attaching in your email message. Larger reporters take longer to save so

you may need to increase this time if attachments fail to show on the email message.


If Simple Email Messages is selected, you must click on Set Up Email Account to enter your email account

settings or go to Settings ► My Email Account. Your email account will display. It will be named with an

asterisk followed by your name.







Enter the network address of the email server that sends outgoing email messages, the server port that is

used, the email address sending the messages, your user name and password plus the security type. If you

want to be blind copied or copied on emails you send, select the option for this and enter the email access to

be copied.





If you are not using Outlook, you must have an email account of your own set up OR have other email accounts

set up in Settings ► Categories and Types ► Email Accounts before Acclaim Solaria will be able to send an

email message through the Internet.

When an email message is created, the following preview window will display:




Select the Account you want to send from in the drop-down list of accounts.


File attachments can be included with the email message. If you are printing reports for email messages to

PDF files, you will see an attachment (the report) already listed.


Click on the Add File icon to add an attachment. You will be prompted with a file dialog box where you can

point to the file on your hard drive that you want to attach. The file name will be listed in the File Attachments

list. You can attach as many files as you want; however, you may be limited to the size of email messages that

can be sent through your email server.


Click on the Remove File icon to remove a file from the File Attachments list.

Edit the body of the email message, if desired. Note that if you are sending a letter whose template does NOT

use the embedded editor, you will not be able to edit the email message before sending it.


Click Send to deliver the email message.
