Threadeo Summaries

Simply add the audio/video files to your Solaria jobs and request a rapid transcript from the Solaria interface. Add a certified transcript in addition to your video file to request a synched video with Threadeo.  Request a transcript summary with just a certified transcript.  Solaria will streamline the process to deliver, process and download the files through Threadeo.

Document Overview

The following document provides instructions for you to integrate Acclaim Solaria and ServiceLink with Threadeo. This integration allows you to:

  • Order a rapid transcript from an audio or video file and optional Zoom VTT file.
  • Order a synched video from a video file and certified transcript.
  • Order a transcript summary from a certified transcript.
  • Automatically receive the rapid transcript file and synched video link into ServiceLink and Solaria.

Note: This integration requires ServiceLink. You may also use Threadeo services without the built-in integration. Please contact support@acclaimlegal.com for more information.

Steps to Set Up Threadeo Integration

Get a Threadeo Account

You will need to set up an account with Threadeo first. If you do not already have an account, go to https://legal.threadeo.com, click on Sign Up and follow their steps to set up an account. (Note we do not provide support for their website. If you have any questions or problems, please contact their support.)

Get a Threadeo API User Key

You will need the API User Key from your Threadeo account. After logging into the Threadeo website, click on the three dots in the top right corner of the page then select Settings

On the Settings page, click on API Settings.

Click on Generate Secret Token. Copy this token and save it in a safe place. This will be the only time you see it. You will also need the API Key.

Create Transcript File Types in Solaria

When files are returned from Threadeo, ServiceLink can assign them to a file type. We recommend creating file types to use for each type of order. Do this in Solaria by going to Settings ► Categories and Types ► File Types

If you want to automatically give attorneys or resources access to the files once they have been produced by Threadeo, check Auto Access to Resources and/or Auto Access to All Attorneys on Job on the file types you just created.

Turn On Threadeo Integration with ServiceLink

In ServiceLink, for each applicable division that you want to use Threadeo for, you will need to enter the Threadeo settings.

  1. Select Settings ► Divisions from the left menu.
  2. Click on a division to go to the details for it.
  3. Click on the Interfaces tab.
  4. Click on the edit icon button.
  5. Click on Third Party Transcript Settings to expand the section.
  6. Select “Threadeo” for each of the highlighted items above that you want to order from Threadeo.  Also select the Returned File Type to use for each one.
  7. For Threadeo Connection, enter the API Key and API Token that you got from the Threadeo website.
  8. Click on Update at the bottom of the page to save.

If you have Solaria open, you must close it and re-open it for it to fetch this information out of ServiceLink so that it knows you have it turned on.

Modify Notifications

Notifications can be sent to attorneys (and your office) when the files from Threadeo are ready. In your division notifications, search for “ready” to find the “Rapid Transcript Ready”, “Synched Video Ready” and "Transcript Summary" notifications. Edit these as you would like. When ordering multiple items on a job, users will receive a notification for each.

Enter Solaria Settings

The following settings need to be entered in Solaria before you can send orders to Threadeo.

File Types

You will need to assign the types of files to send to Threadeo to produce the transcripts.

  1. Select Categories and Types ► File Types. You will see a column named Threadeo Files
  2. Rapid Transcript Orders:
    1. When ordering a rapid transcript, you will need to provide a minimum of an audio or video file. The video file can be a link to a video online (such as a Zoom video link). Check your audio and/or video file types under the Audio/Video column.
    2. Optionally, you can provide a Zoom VTT file for rapid transcript orders. Check your Zoom VTT file type under the VTT column.
  3. Synched Video Orders:
    1. When ordering a synched video, you will need to provide a certified transcript. This must be an ascii/text file. Check your certified transcript file type under the Cert. Trx column.
    2. You will also need to provide the video file. Check your video file type under the Video column. Note that you can use the same video file type for both rapid transcript and synched video orders.
  4. Transcript Summary Orders:

When ordering a transcript summary, you will need to provide a certified transcript. This must be an ascii/text file. Check your certified transcript file type under the Cert. Trx column.

  1. Click on Save Changes.

Request Threadeo Orders on Solaria Jobs

Once you have the above settings in place, you can begin requesting orders from Threadeo.

When you are entering jobs in Solaria for a division that has the Threadeo integration turned on for it, you will see two checkboxes to order a Rapid Transcript, Synched Video and/or a Summary. Check the orders that you want with the job.

Add Files

Once you have the audio or video recording file for the job, add it to the Job Files list. If you integrate with Zoom, Solaria will fetch the audio file, video link and VTT file for you automatically, depending on the options you have selected in Zoom.

  • Select the File Type on the video file. It should use a file type that has Audio/Video checked on it.
  • If you have more than one audio or video file, you will need to supply the File Order number so that Threadeo produces one rapid transcript in the correct order.

If you are requesting a synched video or transcript summary, add the certified transcript to the Job Files list.  (These do not have to be ordered at the same time as a rapid transcript.)  Select the File Type that has Cert. Trx checked on it.

 Place Orders

Once you have the appropriate files saved on the job, you can place an order with Threadeo.  At the bottom of the window, you will see a section named Third Party Orders.

1. Click on the switch to place an order for the desired item with Threadeo.  Solaria will determine if you have the appropriate files and job information entered for the order and inform you if there is anything missing.  If everything has been provided, a prompt will display to confirm your request.  For example:

2. Click Yes to continue to send the order.  The switch will be turned on with the date and time that the order was sent.  (Note: This cannot be turned off as the order has already been sent at this point.)

Threadeo Order Process

ServiceLink will pass along the files to Threadeo. You will see the orders listed on the Threadeo website once they have been received there. ServiceLink will show a status of the items ordered on the files being sent TO Threadeo after a short delay:

Once the orders are completed, ServiceLink will add the files produced to the job. It will include an ascii and Word document for the rapid transcript or a link to the synched video or transcript summary files.

The next fetch from ServiceLink in Solaria will then show the files on the job in Solaria.

A notification from ServiceLink will be sent to any attorneys or resources that were automatically assigned to the files based upon the file type settings. They will contain a link the files produced.
